Job Position Available: Sales & Marketing Assistant

The Sales and Marketing Assistant provides vital support to the Sales and Marketing teams by working with Fortune 1000 clients, locating speakers, fielding speaking requests, preparing BigSpeak contracts. Marketing and Sales Assistants team up with our speakers, account executives and Fortune 1000 clients to assist with, sales support, customer service, marketing, documentation and contract logistics for speaking, coaching and consulting events around the world. This role requires a combination of proactive work with the ability to quickly react to unplanned circumstances with the occasional after hours emergency. This role also demands flexibility, patience and knowing the difference between "urgent" and "important." Above all, our staff make everyone look like heroes and never lose their composure with any client or resource.

The duties and responsibilities of our Sales and Marketing Assistants are:

  • Greet each caller and visitor with professionalism and quality service.
  • Distribute leads from BigSpeak's website, email, and phone inquiries,
  • Prepare client and speaker contracts on behalf of Account Executive and Finance Manager.
  • Prepare client firm offer and engagement prep on behalf of the Account Executive.
  • Effectively use MS Office and CRM (ACT or SalesForce) software to enter sales, client and speaker information for accurate tracking, reporting and follow-up.
  • Drip marketing
  • Work with our speakers to update bios, videos, CVs and other informational materials
    Check availability of speakers and maintain internal speaker schedules by creating/releasing hold status as needed.
  • Perform talent research outside of our existing database.
  • Assist in making outbound sales calls and verify client or speaker information as directed
  • Reactivate older clients and prospects from Fortune 1000 companies
  • Attend and contribute in sales, marketing and corporate communications meetings & collaborates with all departments.
  • Coordinate speaker bios, headshots and materials for each booking (event).
  • Populate PPQ (Pre Program Questionnaire) for each event and place in appropriate client folder for Event Coordinator.
  • Reaffirm client expectations upon close of sale, send supporting documents.
  • Stay in frequent communication with clients, speakers and account executives.
  • Handle marketing for account executives, including drip marketing, targeted marketing, follow-ups and outgoing calls. 
  • Support account executives and act as their business partner to ensure an increasing number in monthly bookings and maintain excellent client relationships.
  • Develop superior knowledge of industry marketplace, trends and product knowledge as well as a strong network of industry contacts.

    The ideal candidate will possess the following skills and qualifications: 
  • Bachelor's Degree with business or social science degree preferred
  • 3+ years of sales and marketing experience
  • Effective organizational and time management skills (time management system)
  • Strong verbal and written communication skills (you will spend 90% of your time communicating with clients and speakers)
  • Highly organized and accurate with numbers, spelling, grammar and details
  • Team player with ability to work and adapt at a fast pace with sunny disposition 
  • Knowledgeable on Fortune 1000 companies, business leaders and celebrities
  • Willing to work extra hours when necessary
